Representative roles explained

Each representative has a role that limits what they can do on the business. Pick the smallest role that lets the person do their job — it's the safest default.

Before you start

  • Roles are per-business, not global. The same person can be a Manager on one business and a Viewer on another.

  • You can change a role any time from the representatives list.

Step-by-step

  1. Owner — full control, including adding and removing reps. Usually one per business.

  2. Manager — almost everything except removing the owner. Good for trusted operations leads.

  3. Buyer — can browse and purchase sponsorships, claim first rights, and view orders.

  4. Viewer — read-only. Can see orders and assets but cannot buy or change anything.

  5. To change a role, open the rep list and use the dropdown next to their name.

Tips & best practices

  • Default to Buyer for marketing teammates and Manager for finance leads.

  • Never share an Owner login. Add the right person as a Manager instead.

  • Reduce a rep's role to Viewer when they leave their position rather than deleting — that preserves history.

Can a Buyer claim first rights?
Yes — claiming a first right is a purchase action.

Can a Viewer download invoices?
Yes. Read-only includes downloads.

What happens if I demote myself?
You'll lose Owner-only abilities. Be sure another Owner exists first.
