Data cleanup tools fix common drift problems: stock counts that diverge from actual orders, expired first-rights still hanging around, and email templates customized in ways you want to undo. Run them as needed.

Before you start

  • Make sure no team members are mid-edit — cleanup runs may briefly lock affected data.

  • Consider exporting current data first as a backup.

Step-by-step

  1. Open Settings > Data Cleanup.

  2. Recalculate Stock recomputes qty_sold for every sponsorship from order history. Use this if quantities look off.

  3. Cleanup First Rights removes expired entries from active lists. Use after running large campaigns.

  4. Reset Email Templates restores any modified template to the system default. You will be asked to confirm.

  5. Each tool shows a summary of what changed when it finishes.

Tips & best practices

  • Run Recalculate Stock after bulk imports or refunds to keep inventory honest.

  • Schedule a quarterly cleanup as part of your operations rhythm.

  • Reset templates one at a time so you do not lose customizations you wanted to keep.

Are cleanup actions reversible?
Recalculate Stock and First Rights cleanup are non-destructive. Email template resets cannot be undone — back them up first.
