Event Date trigger

Edited

Overview

The Event Date trigger schedules an email relative to a single event's start date. Use it for reminders to a specific event's sponsors, like a "See you next Friday" note five days before your gala.

Before you start

  • Make sure the target event has a confirmed start date set in Events > Event details.

  • Decide how many days before the event to send (1, 3, 5, 7, 14, etc.).

  • Open Marketing > Automations and click New automation.

Step-by-step

  1. Select Event Date as the trigger.

  2. Pick the specific event from the dropdown.

  3. Set Days before to the desired number.

  4. Choose recipients. Most chambers leave this set to "all sponsors of this event."

  5. Write the subject and body, mentioning event time, venue, and parking.

  6. Add a calendar link or attach an .ics file using a content block.

  7. Save the automation and verify a test send. Activate when ready.

Tips & best practices

  • Stack multiple Event Date automations: 14 days, 5 days, and 1 day before the event.

  • Include logistical details (load-in times, dress code) so sponsors arrive prepared.

  • Tag your sender as a real chamber person rather than a generic noreply address.

  • Use polite tone; this is a courtesy, not a sales push.

FAQ

What happens if I change the event date?
The automation recalculates and uses the new date, as long as the change happens before the trigger window.

Can I target only certain sponsorship tiers?
Yes. Use the recipients section to filter to specific sponsorships within the event.
