System templates

System templates power Chamberly’s automatic emails: welcome messages, onboarding nudges, order confirmations, payment failures, sponsorship packages, and team invites. Edit them once and every transactional email picks up your changes.

Before you start

  • System templates can be edited but not deleted.

  • Some merge tags are required — removing them may break the email (e.g., {order_number} on Order Confirmation).

Step-by-step

  1. Go to Email > Templates.

  2. Click the System tab.

  3. Pick the template to edit: Welcome, Onboarding, Order Confirmation, Admin: New Order, Admin: Payment Failed, Sponsorship Package, or Team Invite.

  4. Customize blocks, copy, and styling using the builder.

  5. Click Send test to email it to yourself with sample merge data.

  6. Click Save changes.

Tips & best practices

  • Update the Welcome template first — it’s the most-seen email new sponsors receive.

  • Keep transactional emails tightly scoped. Don’t turn the Order Confirmation into a marketing email.

  • Use the Reset to default link at the top of any system template if you want the original copy back.

FAQ

What triggers each system template?
Welcome (new account), Onboarding (sent at day 1, 3, 7 after signup), Order Confirmation (order placed), Admin: New Order (new order, sent to org), Admin: Payment Failed (Stripe failure), Sponsorship Package (manual send), Team Invite (member invited).

Can I disable a system template?
Order Confirmation cannot be disabled. The others can be toggled off under Settings > Email > Notifications.
