Adding internal notes to an order

Overview

Order notes capture context that doesn't fit in structured fields — phone-call summaries, payment arrangements, special asks. Each note is either internal (admin-only) or visible to sponsor, so you can communicate publicly or keep things private.

Before you start

  • Decide whether the note is for internal eyes only or should be shared with the sponsor.

  • Keep notes short and factual — they may be reviewed in a dispute later.

Step-by-step

  1. Open the order under Sidebar > Orders.

  2. Scroll to the Notes section in the right rail.

  3. Click Add note.

  4. Type the note. Use the visibility toggle: Internal (lock icon) or Visible to sponsor (eye icon).

  5. Click Save. The note is timestamped and attributed to your account.

Where notes appear

  • Internal notes show on the admin order detail page only.

  • Visible notes show in the sponsor's order detail page and in their email confirmation when newly added.

  • Both note types appear in the order activity history with the author and timestamp.

Tips & best practices

  • Use internal notes to log every conversation — phone, email, in-person.

  • Use visible notes to confirm agreements ("Per our call, we'll comp the upgrade for next year").

  • Tag teammates with @mentions to alert them when context changes.

FAQ

Can I edit a note after saving?
Yes, within 24 hours by the original author. After that the note is locked and an edit creates a new note instead.

Can sponsors reply to visible notes?
Not directly in Chamberly today — sponsors can email the chamber or open a support thread depending on your setup.
