Creating a manual order on behalf of a sponsor

Overview

Manual orders let admins create orders on behalf of a sponsor — useful for phone sales, in-person closes, or sponsors who pay by check. You can collect payment via Stripe at the time of creation or mark the order as paid externally.

Before you start

  • Confirm the sponsor business exists, or be ready to create one inline.

  • Know which sponsorships and quantities the sponsor agreed to.

  • If using Stripe, confirm Stripe Connect is connected under Settings > Payment.

Step-by-step

  1. Go to Sidebar > Orders and click New order.

  2. Search for and select the sponsor business, or click Create new business.

  3. Click Add line item and pick a sponsorship or package. Adjust quantity.

  4. Apply a coupon or override pricing if needed (override requires admin role).

  5. Choose payment method:

    • Charge card now — sends a Stripe Checkout session to the sponsor's email.

    • Mark as paid externally — record the payment as received outside Stripe (check, ACH, etc.).

    • Reservation — create the order in committed with no payment.

  6. Add an internal note describing the context (e.g., "Verbal agreement with John, check mailed 4/22").

  7. Click Create order.

Tips & best practices

  • Always attach an internal note for audit trail.

  • For check payments, leave the order in pending until the check clears, then mark committed.

  • Send the sponsor a confirmation email — Chamberly offers a one-click send from the order detail page.

FAQ

Does the sponsor get an email automatically?
Only if you select Send confirmation on creation. Stripe Checkout sends its own receipt when the payment is captured.

Can I override the price below cost?
Yes, with admin role. The override is logged in the activity history.
