The annual rollover wizard
Overview
The annual rollover wizard analyzes the prior year's orders, identifies top buyers per sponsorship, and auto-assigns first-rights holders for the upcoming year. It produces a preview before any changes are committed, so you can review and edit before pulling the trigger.
Before you start
Make sure last year's events and orders are fully closed and reconciled.
Confirm this year's sponsorships are created — the wizard maps prior-year sponsorships to current-year equivalents.
Set this year's renewal windows, or accept the wizard's suggested defaults.
Step-by-step
Go to Sidebar > Tools > Annual rollover.
Choose the prior year as the source and the upcoming year as the target.
The wizard analyzes orders and lists each prior-year sponsorship with its top buyers.
Map each prior-year sponsorship to its current-year equivalent (or skip if not renewing).
Adjust quantities — the wizard pre-fills based on historical purchase volume.
Set the renewal window dates (defaults: 30 days from today).
Click Preview changes. Review the table of holders that will be created.
Click Commit rollover. The wizard creates the holders and transitions sponsorships to
first_rightsstatus.
Tips & best practices
Run rollover at least 60 days before public sale to give sponsors a meaningful window.
Use the preview to remove any business that didn't renew their membership.
Save the preview as CSV before committing — it's a useful audit trail.
FAQ
Can I undo a rollover?
Yes, within 24 hours, via the Undo rollover button. After 24 hours you'll need to remove holders manually.
What if a sponsor bought multiple of the same sponsorship last year?
The wizard sums their quantity and pre-fills it, but caps at the new sponsorship's inventory.
