First-rights expiration reminder automation
Overview
Expiration reminder automations email holders before their renewal window closes, dramatically increasing claim rates. Chamberly ships built-in reminder triggers tied to the first-rights expiration date, with sensible defaults you can customize per chamber.
Before you start
Confirm a default sender is configured under Settings > Email.
Have at least one sponsorship with an expiration date set.
Pick the cadence: typical defaults are 14 days, 7 days, and 1 day before expiration.
Step-by-step
Go to Sidebar > Automations.
Click New automation and choose the trigger First rights expiration approaching.
Set the offset (e.g., "7 days before expiration").
Pick the email template or build a new one with the email block builder.
Add merge tags:
{{holder.first_name}},{{sponsorship.name}},{{expiration.date}}, and{{claim.url}}.Optionally add filters — for example, only send to Unclaimed holders.
Click Activate. The automation runs on the daily Inngest cron at midnight UTC.
Tips & best practices
Stack three reminders (14, 7, 1 day) for the highest claim rate.
Use a different subject line for each reminder so they don't filter as duplicates.
Include a direct claim button — single-click conversion beats multi-step flows every time.

What if a holder already claimed?
The filter on holder status excludes claimed holders so they don't get nudge emails.
Can I send a reminder to my team in addition to the holder?
Yes — add an internal recipient block in the automation builder.
