Tracking who claimed vs unclaimed
Overview
Once a renewal window opens, you'll want to know who's claimed, who's still on the fence, and who's about to lose their right. The first-rights tab on each sponsorship and the chamber-wide first-rights report both surface this in real time.
Holder status values
Unclaimed — holder has been assigned but hasn't claimed yet.
Partial — holder claimed some but not all of their quantity.
Claimed — holder claimed their full quantity.
Expired — window closed before the holder claimed; rights released to public.
Released — admin manually removed the holder.
Step-by-step: Per-sponsorship view
Open Sidebar > Sponsorships and select the sponsorship.
Click the First rights tab.
Scan the holders list. Each row shows email, assigned quantity, claimed quantity, and status.
Click any row to see the underlying order (if claimed) or send a manual reminder (if unclaimed).
Step-by-step: Chamber-wide report
Go to Sidebar > Reports > First rights.
Filter by event, status, or expiration date range.
Use the Export CSV button to pull the data into a spreadsheet.
Tips & best practices
Run the unclaimed report weekly during active renewal windows.
Personal outreach to holders 5 days before expiration converts the highest percentage.
For repeated no-claim holders across years, consider removing them from default rollover.
FAQ
Can I see when a holder was added?
Yes. The activity log on each holder shows assignment, claims, and any quantity changes.
Does "partial" expire the remaining quantity at the window close?
Yes. Unclaimed remainder transitions to public when the cron runs.
