Bulk adding first-rights holders by CSV
Overview
Bulk CSV import is the fastest way to seed first-rights holders for a new event or chamber-wide rollover. Chamberly accepts a simple CSV with columns for email, quantity, and optional metadata, and validates the file before committing any changes.
Before you start
Download the CSV template from Sidebar > Sponsorships > Bulk import > Download template.
Confirm each target sponsorship has a renewal window set.
Spot-check that emails are valid and unique per sponsorship.
CSV format
sponsorship_id— required. Find it in the sponsorship URL or detail page.email— required.quantity— required, integer 1 or higher.business_name— optional.internal_note— optional.
Step-by-step
Open Sidebar > Sponsorships and click Bulk import first rights.
Upload your CSV. Chamberly previews the rows it parsed.
Review the validation report — invalid rows (bad email, missing sponsorship, over-allocation) are flagged.
Fix any errors and re-upload, or click Skip invalid rows and import valid ones.
Click Confirm import. A progress bar shows the import status.
When finished, a summary modal shows totals: imported, skipped, errored.
Tips & best practices
Run the import on a single test sponsorship first to verify the column mapping.
Keep an internal note column so future admins can trace where the holder came from.
Re-running the import for the same email/sponsorship updates the existing holder rather than duplicating.
FAQ
What happens to existing holders not in my CSV?
They are unaffected. Bulk import is additive unless you check the Replace all holders option.
Can I import across multiple sponsorships in one file?
Yes — that's the recommended pattern. The sponsorship_id column drives routing.
