Assigning first-rights holders
Overview
Holders are the businesses or contacts entitled to claim a sponsorship during its first-rights window. You can add holders one at a time from the sponsorship detail page, in bulk via CSV, or automatically via the annual rollover wizard.
Before you start
Confirm the sponsorship has a renewal window configured.
Have the holder's email address ready — emails don't need to match an existing sponsor account.
Decide quantity per holder if you want to split rights across multiple businesses.
Step-by-step
Open the sponsorship under Sidebar > Sponsorships.
Click the First rights tab.
Click Add holder.
Enter the email and quantity. Optionally attach a business name and internal note.
Click Save. The holder appears in the holders list with status Unclaimed.
Repeat for additional holders. The total assigned cannot exceed the sponsorship's inventory.
Tips & best practices
Use a recognizable internal note (e.g., "Renewed at lunch 4/15") so future admins know context.
If a holder needs to be replaced, remove the old one and add the new one — the audit log keeps history.
For multi-rep businesses, assign rights to the primary contact and let them coordinate internally.
FAQ
Can I assign rights to a contact who isn't yet a sponsor?
Yes. When they claim, Chamberly creates an account using the email on file.
What if I assign more rights than inventory?
The form blocks it and shows the remaining capacity.
Can a single holder hold more than one quantity?
Yes — set the quantity field to the number of slots they're entitled to claim.
