Sponsorship availability statuses explained

Overview

Every sponsorship has an availability status that controls who can see and buy it. The four statuses model the typical sales lifecycle of a chamber sponsorship: building, renewal window, public sales, and sold out.

The four statuses

  • not_yet_available — Hidden from everyone. Use while building or before you are ready to sell.

  • first_rights — Visible only to assigned first-rights holders. They see a Claim Now button on the sponsorship.

  • public — Visible to everyone. Anyone can purchase or claim depending on payment mode.

  • sold_out — Set automatically when inventory hits zero, or manually if you want to close sales early.

Before you start

  • You need an org_manager or chamber_staff role to change availability

  • Decide your release strategy: straight to public, or first-rights window first

Step-by-step (changing status)

  1. Open the sponsorship from the parent event

  2. Click Edit sponsorship

  3. Find the Availability dropdown

  4. Pick not_yet_available, first_rights, public, or sold_out

  5. Click Save

Typical lifecycle

  1. Create the sponsorship as not_yet_available

  2. Add first-rights holders and flip to first_rights

  3. After the first-rights window closes, flip remaining sponsorships to public

  4. System auto-flips to sold_out when inventory reaches zero

Tips & best practices

  • Use Marketing > Automations to auto-flip from first_rights to public when the window ends

  • Manually setting sold_out is useful for closing early when you want to focus elsewhere

  • You can flip back from sold_out to public if you bump inventory after a cancellation

  • Combine availability with go-live dates for a polished launch

FAQ

What happens if a first-rights holder tries to claim after the window?
They see the same view as the public — claim if status is public, or no action if sold_out.

Can I have first-rights and public buyers at the same time?
Pick one status per sponsorship. Use multiple sponsorships if you need parallel paths.

Why is my sponsorship not showing on the public page?
Check status — only public sponsorships are visible to non-first-rights sponsors.
