Event statuses (draft, active, archived) explained
Overview
Every event in Chamberly has one of three statuses: draft, active, or archived. Status controls whether the event is visible to the public, whether sponsors can buy on it, and whether it appears in your dashboard's upcoming events list.
The three statuses
draft — Hidden from the public storefront. Only visible to chamber admins. Sponsorships cannot be purchased.
active — Visible on the public storefront. Sponsorships honor their availability status (
publicsponsorships can be purchased).archived — Hidden from the storefront and from the default Events list view. Reporting still works. Use this for past events you want to keep records on.
Before you start
You need an org_manager or chamber_staff role to change event status
Make sure your event has at least one sponsorship before flipping to
active
Step-by-step
Open the event from Sidebar > Events
Click the status dropdown in the top-right (currently shows the existing status)
Pick draft, active, or archived
Confirm in the dialog — Chamberly warns you if going from active to draft would hide an event with live orders
Tips & best practices
Use
draftfor events still in setup — never publish an event with placeholder textFlip back to
draftif you need to make significant changes that you do not want sponsors to see mid-editUse
archivedafter the event ends so it is out of the way but reportableCombine
activewith a future go-live date if you want it live but invisible until a specific moment
FAQ
What happens to existing orders if I move an event to draft?
Orders are preserved. The event just disappears from public view until you flip it back to active.
Can I un-archive an event?
Yes. Open it and change status back to active or draft.
Does archiving an event delete its data?
No. All sponsorships, orders, and reports remain intact.
